Getting Started

How do I install ZapVox?
Visit the Chrome Web Store and click "Add to Chrome." ZapVox also works on Microsoft Edge and other Chromium-based browsers. After installation, open WhatsApp Web and you'll see transcription buttons on audio messages.
How do I transcribe an audio message?
Once installed, a small transcription button (🎙️) appears next to every audio message on WhatsApp Web. Sign in with Google, Microsoft or email with a code first (login is required — you get a free 7-day trial, no credit card), then click the button and ZapVox converts the audio to text in a few seconds. Transcription runs in the cloud (Groq/OpenAI, or your own BYOK key) — the audio is processed and immediately discarded, never stored.
Do I need an account to use ZapVox?
Yes, a login is required — Google, Microsoft or email with a code. It's free and takes 5 seconds: in the extension popup, click "Sign in with Google", "Sign in with Microsoft" or type your email to get a code. When you log in for the first time, you automatically get a 7-day free trial with everything unlocked (cloud transcription, translation, summarization, sentiment) — no credit card needed.
Which languages are supported?
ZapVox supports 99+ languages for transcription (auto-detected by Whisper in the cloud), including Portuguese, English, Spanish, French, German, Italian, Japanese, Chinese, Arabic, Hindi, and many more. The interface is available in English and Portuguese. Translation supports 30+ languages on the Trial and Pro plans.
What is auto-transcription?
Auto-transcription automatically transcribes new audio messages as they arrive — no clicking needed. You can enable it in Settings. It requires explicit consent and can be turned off at any time. Auto-transcription respects your daily limits and transcription method (Cloud or BYOK). Tip: there's an "Only new audios" toggle to save your daily quota so old audios aren't re-transcribed when you scroll.
Can I use it on multiple computers?

Yes! Install ZapVox on as many computers and browsers as you like and sign in with the same account. You can switch between them freely — the only rule is that just 1 browser stays active at a time.

How it works: when you open ZapVox in another browser, that one becomes active and the previous one is paused, with a notice and a "Use here" button to resume whenever you want. Switch machines/browsers as often as you need — you just can't use the same account on two at the same time.

It's 1 account per active browser. Without the add-on, simultaneous use (two browsers active at the same time on the same account) is not enabled — this helps prevent fraud and account sharing.

Need more than one active browser at the same time? The Additional computer add-on costs +R$9.90/month per extra browser and is bought from your dashboard, with no need to talk to anyone. For larger teams, write to [email protected].

Can I schedule messages?Pro

Yes, message scheduling is available! It's a Pro feature — on the Free plan you can schedule up to 3 messages per day.

How to schedule:

  • On WhatsApp Web, open the contact's chat
  • Click the 📅 button next to the microphone
  • Write the message (you can use variables like {{nome}}, {{data}}, {{hora}})
  • Pick a date and time and save

Sending is individual and uses WhatsApp's official chat mechanism (it is NOT bulk sending). ZapVox applies automatic safety limits (minimum interval between sends, timing variation, and hourly/daily/weekly caps) to reduce the risk of being blocked.

⚠️ Important: use it moderately. Excessive use may lead to your account being blocked by WhatsApp — that decision is exclusively Meta's and is your responsibility. Reminders (🔔 to yourself) remain free on all plans.

Transcription

Does local (Whisper) transcription still exist?
No. On-device Whisper was removed in v2.2.0 (April 2026) — it was heavy (~140-244MB download), slow on older PCs and noticeably less accurate than cloud Whisper. It was replaced by the BYOK + Cloud cascade. If you want to transcribe without ZapVox limits today (within Groq's own free-tier quota), set up a free Groq key (BYOK) in about 30 seconds in the popup.
What is cloud transcription?Pro
Cloud transcription sends your audio to a high-powered AI server for faster, more accurate results — especially for noisy audio, accents, or less common languages. Daily limits: Free 10 transcriptions/day and up to 15 min of audio/day; Trial 15 operations/day and up to 30 min of audio/day; Pro 150 operations/day per feature type and up to 150 min of audio/day (fair use). Limits reset at midnight, Brasília time. Audio is processed and immediately discarded; it is never stored on our servers.
What is BYOK (Bring Your Own Key)?
BYOK lets you use your own Groq or OpenAI API keys. The AI features (transcription, translation, summary, sentiment) run without ZapVox limits — usage draws on YOUR key's quota with the provider — and the data goes straight from your browser to the provider. Available on any plan (including Free). Your keys are encrypted with AES-GCM 256-bit and stored locally — they never reach our servers. You're responsible for any API costs from your provider.
Can ZapVox translate transcriptions?Pro
Yes! On the Trial and Pro plans, you can translate transcriptions into 30+ languages with one click. The Free plan does not include translation (removed in v2.2.1). Just transcribe the audio, then click the 🌐 Translate button and choose the target language. You can also set up automatic translation in Settings → Post-transcription.
Can ZapVox summarize audio messages?Pro
Yes. Pro users can generate concise summaries and extract key topics from any transcription. This is especially useful for long voice messages — get the key points in seconds instead of listening to minutes of audio.
Why is the transcription inaccurate?
Transcription quality depends on several factors:
  • Audio quality: Background noise, low volume, or poor microphone quality reduce accuracy
  • Accents and dialects: Heavy accents may reduce recognition accuracy
  • Language: Some languages have higher accuracy than others
  • Provider: switching between Cloud and BYOK (Groq or OpenAI) can improve results — some providers handle certain audio better
Tip: For difficult audio, try switching provider (Cloud ↔ BYOK Groq/OpenAI) and transcribe the original without translating at the same time.

Plans & Billing

Is ZapVox really free?
Yes! The Free plan costs nothing and has no expiry date — no credit card either. It includes 10 cloud transcriptions/day (up to 15 min of audio/day), plus AI features without ZapVox limits with your own API key (BYOK — uses your key's quota; Groq has a free tier). The Starter plan (R$ 14.90/month) unlocks every feature — translation, summaries, topics, sentiment, glossary, export, notes and reminders, no watermark — with personal-use limits: 60 transcriptions/day (per feature type) and up to 30 min of audio/day, on 1 computer. The Pro plan (R$ 29.90/month) raises that to 150 cloud operations/day per feature and up to 150 min of audio/day (fair use). Prices are always charged in Brazilian reais (BRL). How does the free trial work?
When you sign in with Google for the first time, you automatically get a 7-day free trial of Pro features — no credit card required. During the trial, you get up to 15 cloud operations per day and up to 30 min of audio/day, with access to all Pro features. After 7 days, your account reverts to the Free plan. No charges are made during the trial.
What does the Pro plan include and how much does it cost?
The Pro plan includes 150 cloud operations/day per feature type and up to 150 min of audio/day (fair use), multi-language translation, summaries, topic extraction, and removable watermark. Pricing:
  • Monthly: R$29.90/month, auto-renewing
  • Annual: R$199.90/year, auto-renewing (44% off versus paying monthly, about R$16.66/month)
  • Biennial: R$299.90 for 2 years, a one-off payment with no auto-renewal (58% off versus paying monthly, about R$12.50/month)
Prices are in BRL (Brazilian Real), including for subscribers outside Brazil. If your card is in another currency, it is converted by your card issuer.
How do I cancel my subscription?
You can cancel anytime from the ZapVox extension popup (Settings → Manage Subscription) or through the Stripe billing portal. After cancellation, you keep Pro access until the end of your current billing period. No further charges will be made.
What is the refund policy?
The deadlines in our Refund Policy apply, and they are the same for Monthly, Annual and Biennial:
  • Within 7 calendar days of purchase: right of withdrawal under the Brazilian Consumer Code (CDC, art. 49) — full refund, for any reason, no questions asked. This right cannot be waived and applies even if the account has used the full refund before.
  • Within 14 calendar days counted from the last charge: on request, we refund that charge in full.
  • Once per account: the full refund is granted a single time. Later requests from the same account do not generate a new full refund — cancelling remains available and stops future charges.
  • Charges made up to August 14, 2026 keep the 30 calendar day window that applied when they were made.
  • After that, the amount already paid is not returned — cancelling stops future charges. Cases outside these periods are reviewed individually.
In practice: 7-day free trial (no card, no charge) + 7-day withdrawal period = up to 14 days to evaluate risk-free, and after that the last charge is refunded in full if you ask within 14 calendar days of it. To request a refund, email [email protected].
What payment methods are accepted?
Payments are processed securely by Stripe. We accept major credit and debit cards (Visa, Mastercard, American Express, etc.). Prices are listed in USD but are automatically converted to your local currency at checkout. ZapVox never stores your card data — all payment information is handled directly by Stripe.

Privacy & Security

What data does ZapVox collect?
ZapVox is designed with privacy first. Transcription runs in the cloud: only the audio being transcribed is sent, and it is immediately discarded after processing. With BYOK, the audio goes straight from your browser to Groq/OpenAI, bypassing our servers entirely. We collect your email for account management and basic usage counters (how many transcriptions you ran, not their content). We do not collect browsing history, contacts, photos, messages, location, or any data outside of WhatsApp Web audio. See our full Privacy Policy.
Is my audio stored on your servers?
No. Audio sent for cloud transcription is processed in real-time and immediately discarded. We never store, record, or retain any audio content. Transcription results are cached locally in your browser for up to 7 days (to avoid re-processing), but never on our servers.
Are my BYOK API keys safe?
Yes. Your API keys are encrypted with AES-GCM 256-bit encryption and protected by PBKDF2 with 600,000 iterations and a unique random salt per user. They are stored exclusively in your browser's local storage and never transmitted to our servers. When you use BYOK, your keys go directly from your browser to Groq/OpenAI.
Does ZapVox comply with the LGPD?
ZapVox is operated by a Brazilian company and follows the LGPD (Brazil's Lei Geral de Proteção de Dados, Law 13.709/2018). That is the regime we apply, and it applies to everyone — we handle data subject requests wherever you live. You have the right to access, correct, delete, and export your data. How do I delete my data?
You have two options:
  • Clear privacy data: Open ZapVox → Settings → "Clear local privacy data" to remove diagnostic logs and contact name caches without affecting your settings.
  • Clear all extension data: Go to chrome://extensions, click "Details" on ZapVox, then "Clear site data." This removes all cached transcriptions, settings, and BYOK keys.
To delete your account and server-side data entirely, email [email protected].

Troubleshooting

I click a contact and the conversation doesn't open

This was fixed in version 3.10.91. If clicking a contact's name only marks the row and opens nothing, this is it.

Immediate workaround, no update needed:

  1. Open the ZapVox panel (icon in the browser bar)
  2. Go to Settings
  3. Turn off "Highlighted ✍️ button in chat"
  4. Reload WhatsApp Web (F5)

It works again right away. Then update to 3.10.91 or newer (chrome://extensions → Update) and you can turn the highlighted button back on if you like.

What was happening: an internal protection that stops clicks on our own buttons from leaking into WhatsApp ended up, under certain conditions, applying to the whole page — so WhatsApp stopped receiving clicks. It only affected people with the highlighted button turned on, which is why it showed up on one machine and not another. It's fixed, with tests that reproduce exactly that condition.

Stopped working out of nowhere? It may be a conflict with another extension

This is the first thing to test when ZapVox was working and stopped — especially if reloading doesn't help.

WhatsApp Web was not designed to host extensions. When two or more of them modify the same screen at once (bulk-send tools, WhatsApp CRMs, chat organisers, translators), they trip over each other: buttons disappear, audio fails to load, transcription never completes.

A one-minute test:

  1. Open chrome://extensions
  2. Disable every other extension that acts on WhatsApp Web (leave only ZapVox)
  3. Reload WhatsApp Web (F5) and transcribe an audio message

Did it work? It was a conflict. Re-enable the others one at a time until you find the culprit — and tell us which one, so we can try to coexist with it.

Still failing with ZapVox alone? Then it's on us: send a console screenshot (F12 → Console) to [email protected] and we'll investigate.

ZapVox buttons don't appear on WhatsApp Web
Try these steps:
  • Refresh the page: Press Ctrl+R (or Cmd+R on Mac) on WhatsApp Web
  • Check if ZapVox is enabled: Click the puzzle icon in Chrome toolbar and make sure ZapVox is active
  • Reload the extension: Go to chrome://extensions, find ZapVox, and click the refresh icon
  • Clear cache: Sometimes browser cache can cause issues — try clearing it or using an incognito window

The first transcription is very slow
There's no model to download — all transcription runs in the cloud (Groq/OpenAI). The first transcription may take a few extra seconds while the extension wakes up and authenticates your session. If it's consistently slow, check your internet connection or set up a free Groq key (BYOK) in the popup for faster results.
Transcription fails or shows an error
Common causes and fixes:
  • "Network error": Check your internet connection (only needed for cloud/BYOK transcription)
  • "Daily limit reached": You've used your plan's daily cloud operations or minutes of audio for today (limits reset at midnight, Brasília time). BYOK with your own key doesn't consume any ZapVox limit (usage draws on your key's quota with the provider)
  • "Invalid API key" (BYOK): Verify your API key in Settings → BYOK. Make sure it hasn't expired
  • Audio too short/long: Very short clips (<1 second) or very long ones (>20 minutes) may fail. For long audio, try cloud transcription
Does ZapVox work on Firefox, Edge, or Safari?
Firefox: yes, it works. The add-on is published on Mozilla's store: addons.mozilla.org/firefox/addon/zapvox. It also works on Google Chrome and Microsoft Edge, and on other Chromium-based browsers like Brave, Vivaldi and Opera. It does not work on Safari (different extensions API) or on the mobile apps — ZapVox lives inside WhatsApp Web, in a desktop browser.
ZapVox stopped working after a WhatsApp Web update
WhatsApp Web occasionally updates its interface, which can temporarily affect ZapVox. We monitor for these changes and release updates as quickly as possible. Make sure you have auto-updates enabled for extensions in Chrome. If the issue persists for more than 24 hours, please report it to [email protected].
