1🔑 I installed it and nothing happens
Why it happens
Signing in to ZapVox is required (and free). Without signing in, the button does not transcribe. This is reason number 1: most people who uninstall saying "it does not work" never signed in.
How to fix it
- Click the 🎙️ ZapVox icon in the browser toolbar (if it is not there, it is inside the 🧩).
- Sign in with Google, Microsoft or email with a code.
- Go back to WhatsApp Web and press F5.
2🔄 The 🎙️ button does not show on voice notes
Why it happens
WhatsApp Web was already open when you installed, and the old tab does not know ZapVox yet.
How to fix it
- Press F5 on the WhatsApp Web tab.
- If that does not fix it, close the whole browser and open it again.
- The button shows next to each voice note in the open chat.
3💻 I use WhatsApp on my phone or the desktop app
Why it happens
ZapVox is a browser extension: it works on WhatsApp Web opened in Chrome, Edge, Brave or Firefox. The WhatsApp app for Windows/Mac and the phone do not accept extensions.
How to fix it
- Open web.whatsapp.com in your computer browser.
- Link WhatsApp by scanning the QR code with your phone, as usual.
- Use the 🎙️ there — your phone stays the same.
4🪟 "Use here" shows up or WhatsApp keeps reloading
Why it happens
WhatsApp Web is open in two tabs or windows at the same time. It keeps only one active, and the two keep fighting.
How to fix it
- Close the other WhatsApp Web tabs.
- On the one left, click "Use here".
- Done: ZapVox answers on that tab again.
5🖥️ It says the account is active in another browser
Why it happens
Your ZapVox account is in use on another computer or browser. Each plan covers one computer at a time.
How to fix it
- In ZapVox on this computer, use "Use here" to bring the account here (it is free).
- Want to use both at the same time? There is the Additional computer.
- Details are on the plans page.
6⏳ It transcribed a few and stopped
Why it happens
The plan daily quota ran out. The Free plan has 8 transcriptions and up to 15 minutes of audio a day.
How to fix it
- Wait for the next day: the quota comes back on its own.
- Or use a free Groq key: ZapVox transcribes without our daily quota.
- Or check Starter, with many more transcriptions a day.
7🎧 A long voice note does not transcribe
Why it happens
Each plan transcribes a total number of audio minutes per day (Free: 15 min). ZapVox already cuts long voice notes into parts on its own — what blocks it is that daily total. The message shows the length and the limit.
How to fix it
- Use your free Groq key: long voice notes without our daily quota.
- Or use a plan with more minutes: Starter, 30 min a day; Pro, 2h30.
- If the audio fits the limit and only today's minutes ran out, they come back on their own tomorrow.
8🤖 I thought it would transcribe on its own
Why it happens
Automatic transcription may be off for that chat or that kind of voice note (yours, the contact's, group ones).
How to fix it
- Click the 🎙️ next to the voice note: it transcribes right away.
- To make it automatic: ZapVox icon → Settings → Transcribe automatically.
- You can adjust it per chat in the chat's own ⚙️.
9✏️ It came out in another language or with a wrong name
Why it happens
The transcription language differs from what the person speaks, or the name is rare and the AI wrote a similar one.
How to fix it
- ZapVox icon → Settings → transcription language.
- Keep "Chat names in transcription" on: ZapVox uses the contact's saved name.
- On paid plans, the glossary teaches your own terms and names.
10🧩 It worked and suddenly stopped
Why it happens
An update was left halfway or another WhatsApp extension is interfering.
How to fix it
- Press Ctrl+Shift+R (Cmd+Shift+R on Mac) on WhatsApp Web.
- Close the whole browser and open it again.
- Briefly turn off other WhatsApp extensions to test.
