The proposal was finished at 11:12 pm. The client does not need to know that. What the client needs is the PDF at 8 am, when they open WhatsApp with coffee in hand — not in the middle of the night, buried under twenty messages from the family group.
WhatsApp has no "send later". Not for text, not for files. Your options are send it now, or set a reminder and hope you are free when it rings. This post is about the half of the problem almost nobody covers: scheduling a file — a PDF, a photo, a spreadsheet, a contract — on WhatsApp Web, rather than a line of text. The file already lives on WhatsApp — only the timing doesn't
Take Brazil, the country where WhatsApp is closest to being the default business channel. The ICT Enterprises 2024 survey by Cetic.br (4,453 companies with ten or more employees, fieldwork March to November 2024) found that 74% of Brazilian companies had a presence on WhatsApp or Telegram, up from 42% in 2017. Asked which online channels they sold through, WhatsApp messaging came first at 49%, ahead of e-mail (34%), social networks (25%) and the company's own website (20%).
Selling on WhatsApp means quotes on WhatsApp, contracts on WhatsApp, invoices on WhatsApp. The file already travels there. What is missing is control over the hour. The accountant closes the tax form on Thursday night and wants it to land on Monday morning, after the weekend and before the deadline. The clinic's front desk wants the exam preparation sheet to go out at 7 am the day before the exam, not at 6 pm on Friday when the patient will read it and forget. HR wants the onboarding checklist to drop into the new hire's chat at 9 am on their first working day.
In every one of these the file exists, the recipient exists and the time exists. The button doesn't.
What exists today — and where each option stops
Search for "schedule a file on WhatsApp" and you meet five routes. I put each of them in front of the same job: one PDF, one contact, one time.

Two rows deserve a source. Native scheduling is real, but still being built: in June 2026 WABetaInfo described it in the iPhone test build, with sends programmable from 10 minutes to two weeks ahead, not yet enabled even for beta testers — and no mention of WhatsApp Web. The official API does solve the problem for companies with a technical team, but with a rule that changes everything for a small office: according to Meta's documentation, a business can send free-form messages (documents included) only inside a 24-hour window that starts with the customer's last message; once it closes, only pre-approved templates get through. How to schedule a file on WhatsApp Web with ZapVox
ZapVox is an extension for WhatsApp Web on the computer (Chrome, Edge and Firefox). It was born to transcribe voice messages, but scheduling grew up over time and now takes attachments: PDF, Word, Excel, PowerPoint, text, ZIP, photo, video and audio. - Open the contact's chat in WhatsApp Web. The recipient is captured from there and pinned to the schedule — whichever chat happens to be open at send time makes no difference.
- Click the 📅 button next to the microphone. If it is not there, turn on Enable message scheduling in the ZapVox panel and, under Settings, the 📅 and 🔔 buttons in WhatsApp.
- Attach the file and write the caption that goes with it. The caption takes the
{{name}}variable, replaced at send time by the contact's first name as saved in your address book. - Pick the date and time and save. A gold badge appears in the chat header to say something is scheduled there.
- At the set time ZapVox opens the chat from the inside, checks the recipient twice, sends, and waits for WhatsApp's own receipt before marking it delivered.
If you happen to be typing or scrolling WhatsApp at that minute, the send waits its turn and goes out the next minute, without switching the chat in front of you. Each schedule also has a Send now button — handy for a trial run to your own number before trusting it with a client's PDF.
What happens when the file doesn't upload
The part of a tool like this that interests me most is not the send that works — it is what the tool does when one doesn't. A scheduled photo that failed to upload is re-sent exactly once. If it still cannot confirm, ZapVox stops trying: the schedule gets an amber badge with the reason spelled out and a resend button. The house rule is explicit — better a warning than a duplicate image in the client's chat.
Every schedule sits in a list with recipient, a snippet of the caption, the time and a status: scheduled, sent (with the time), error (with a plain-language reason such as "number not on WhatsApp" or "limit reached"), paused, skipped, or waiting for the allowed time window. The list syncs across your computers, and the web dashboard lets you view, edit the text, reschedule, pause or delete. Once a send is done, the text, caption and file are removed from the servers immediately; what remains is a summary of who, when and what kind of content went out.
Three routines that get lighter
Accounting. The tax form comes out of the system on Thursday night, office empty. Scheduled for Monday at 8:30 am, it arrives while the client is at their desk, with the caption "Good morning {{name}}, this month's form is attached" — and the accountant has nothing to remember on a Monday morning that already has fires of its own.
Clinics and practices. The exam prep sheet is a two-page PDF the patient needs to read the day before, not the week before. The front desk schedules it for 7 am on the eve of the exam, straight from the chat that already exists with that patient. Anyone doing this ten times a day feels the difference within the first month.
Recruiting. The candidate accepted on Friday. The document checklist and the onboarding form go to their chat on Monday at 9 am, with a line of welcome. No weekend sends, no impression that the company never switches off. Where this stops
No extension sends anything from a computer that is switched off. The send happens in WhatsApp Web, inside the browser: the machine has to be on, online and with the session active — no QR code pending. If the computer went to sleep or the network dropped at the scheduled time, the schedule is not lost; it goes out on its own the minute everything is back. But "back" means you turning the machine on. It does not work on the phone or in the WhatsApp Desktop app; it is WhatsApp Web in a browser, full stop.
There is a quota, and it is there on purpose. The Free plan allows 3 schedules a day; Starter, 30 a day (10 an hour, 150 a week); Pro, 100 a day (20 an hour, 300 a week). An attachment counts as one send. Between sends there is a minimum gap of 8 seconds and a small random shift in timing, because a burst fired on the exact second is precisely the behaviour WhatsApp associates with bots. Scheduling was built for one-to-one chats, one contact at a time: anyone looking to "send the same PDF to 300 numbers" is in the wrong place, and probably on their way to a ban.
Last, the tool schedules; it does not proofread. The wrong file at the right time is still the wrong file. The usual check before saving still applies — document name, version, recipient.
